Cancellation and Rescheduling Policy

Scope

Applies to bookings and attendance for group classes, private/semi-private sessions, workshops, and special events.

Notice Window

Group Classes

  • ≥12 hours before: Cancel/reschedule ≥12 hours before start → Class credit restored
  • <12 hours: Late Cancel <12 hours → 1 credit deducted
  • No-show: No-show → Credit directly deducted

Private/Semi-Private Sessions

  • ≥24 hours before: Cancel/reschedule ≥24 hours before start → Session retained or rescheduled
  • <24 hours: Late Cancel <24 hours → Session deducted (100% fee)
  • No-show: No-show → Session deducted (100% fee)

How to Cancel

  • Primary Method: Manage cancellations/reschedules in Mindbody booking system
  • Emergency Contact: Email or WhatsApp for system issues or urgent cases
  • Time Reference: System timestamps prevail

Waitlist

Auto-Confirmation Policy

  • If auto-confirmed from the waitlist within the notice window and attendance isn't possible, it is treated as a No-show and deducted accordingly
  • No auto-confirmation within 6 hours

Medical Exception

One-Time Waiver

Conditions:

  • Valid medical certificate required
  • Must be submitted within 48 hours
  • Applies to Late Cancel only (not No-show)
  • One-time waiver at studio's discretion

Severe Weather/Force Majeure

Automatic Cancellation Conditions

Classes automatically canceled during:

  • Tropical Cyclone Warning Signal No. 8 or above
  • Black Rainstorm Warning
  • Government-mandated closures

Result: Credits/sessions restored or rescheduled without fees

Arrival and Lateness

Arrival Guidelines

  • First-time visitors: Arrive 10 minutes early for check-in and safety briefing. Late arrival policy: >10 minutes late may be refused entry
  • Regular members: Arrive on time. Late arrival policy: >10 minutes late may be refused entry

Late Arrival Consequence: Treated as Late Cancel (credit/session deducted)

Studio Cancellations

Reasons for Studio Cancellation

Studio may cancel or merge classes due to:

  • Instructor illness
  • Operational arrangements
  • Minimum enrollment not met

Result: Credits/sessions fully restored or rescheduled without further compensation

Third-Party Platforms

Policy:

  • Bookings via third parties follow the platform's cancellation rules
  • Studio entry and safety rules still apply

Governing Law

  • Jurisdiction: Governed by the laws of Hong Kong
  • Language: In case of discrepancy, the English version or the stricter version prevails
